Payment terms

All services require 100% advance payment unless a different arrangement is expressly agreed in writing by Social Vibe Communications.

  • For one-time projects, the full approved project fee must be received before work begins.
  • For recurring monthly services, the full monthly fee must be received before the relevant service period begins.
  • Approved add-ons, extra work and scope extensions must be quoted and paid in full in advance before the additional work begins.
  • Payment is considered received once it has been successfully credited and confirmed by Social Vibe Communications. A payment screenshot or transfer receipt alone does not confirm receipt of funds.
  • Work will not begin while payment is pending, unsuccessful or unconfirmed. Any different payment arrangement must be explicitly confirmed in writing.

Project commencement and required materials

Work begins only after both conditions are met: the full required advance payment has been received and confirmed, and all initial materials, information, approvals and access necessary to begin the agreed scope have been provided, where applicable.

  • Required materials depend on the selected service and may include existing logos, brand guidelines and brand assets; website copy, images and product details; social media account access and permissions; or content briefs, references, calendars and approvals.
  • Photography and videography may require briefs, products, locations, references and permissions. Advertising may require account access, campaign information, approved budgets and necessary documentation.
  • Clients are not required to provide assets that Social Vibe Communications has been commissioned to create. A new branding client does not need an existing logo when logo design is part of the approved scope.
  • If a specific item is required to begin the first project stage, Social Vibe Communications will communicate that requirement to the client.

Timelines and client responsibilities

  • Project timelines are confirmed according to the approved scope and schedule. Timelines begin only after full payment and the required initial materials, information, approvals and access have been received.
  • Missing materials, delayed approvals, unavailable access or changes in requirements may affect delivery. Clients are responsible for accurate information, approved content, necessary permissions and timely feedback.
  • Any revised timeline caused by delays or scope changes will be communicated clearly. Dates provided before the commencement requirements are fulfilled are provisional.

Proposals, scope and pricing

  • Each proposal outlines the agreed services, deliverables, fees and relevant exclusions. Only services and deliverables expressly included in the approved proposal are covered.
  • Requests outside the agreed scope may require a separate quote. Additional work will proceed only after the client approves the extra scope and pays the applicable fee in advance.
  • Prices described as “From” are starting prices and are subject to a scope review.
  • Domain registration, hosting, software subscriptions, paid plugins, third-party fees, advertising spend and other external expenses are excluded unless expressly included in writing.

Revisions, feedback and approvals

  • The number of included revisions, where applicable, is stated in the proposal or service description. A revision refines the agreed direction; it is not an entirely new concept or a change to the original brief.
  • New directions, substantial changes or requests beyond the included revision allowance may be charged separately, subject to approval and advance payment.
  • Clients should consolidate feedback and provide it within the agreed review period. Delayed feedback or approvals may affect timelines.
  • Client approval confirms acceptance of the relevant deliverable at that stage.

Service-specific terms

Branding and design

  • Deliverables are limited to those stated in the approved proposal, which should clarify the final files and formats included.
  • Source files, editable files, font licences, stock assets and third-party assets are included only where expressly agreed.
  • Clients are responsible for ensuring that materials they supply may legally be used.

Social media and content creation

  • Deliverables, platforms, posting frequency and responsibilities are defined in the approved scope. Clients must supply necessary information, approvals and access.
  • Publishing, community management, reporting and content production are included only when specified in the proposal.
  • Results depend on multiple factors and are not guaranteed.

Photography and videography

  • Shoot dates, locations, deliverables and usage arrangements should be agreed in advance. Clients must arrange access, permissions, products, talent and location approvals where these are their responsibility.
  • Rescheduling, cancellation, additional shoot time, travel and extra editing may incur charges if agreed or stated in the proposal.
  • Raw footage and unedited files are not included unless expressly agreed.

Advertising

  • Advertising services are subject to access to the relevant platforms and client approvals. Advertising spend and third-party charges are separate from agency fees unless the proposal explicitly states otherwise.
  • Social Vibe Communications does not guarantee particular sales, leads, reach, conversions or advertising performance.
  • Platform restrictions, account issues and changes to advertising policies may affect campaign delivery.

Consulting

  • Consulting deliverables, session duration and any follow-up support are limited to the approved scope.
  • Additional sessions or work beyond the agreed scope may require a separate fee.

Website design and development

  • Website scope, page count, functionality, integrations and deliverables are defined in the approved proposal. Advanced and e-commerce projects may require a scope review before the final fee is confirmed.
  • Domain, hosting, platform subscriptions, paid themes or plugins, payment gateway charges and third-party services are excluded unless expressly included.
  • Integrations depend on the availability and compatibility of third-party platforms.
  • Clients must supply or approve website content, product information, images and other required materials unless content creation is part of the agreed scope.
  • Product uploads, extra pages, additional functionality, revisions beyond scope and other extra work may incur additional fees.
  • Website maintenance is separate from development and applies only if a care plan is selected in the approved proposal. Launch, handover and access arrangements should be confirmed in the proposal.

Cancellations, rescheduling and refunds

  • Clients should submit cancellation or rescheduling requests in writing.
  • Cancellation, rescheduling and refund eligibility depend on the agreed proposal, applicable cancellation terms, work already performed, costs incurred and applicable UAE law.
  • A 100% advance payment requirement does not, by itself, mean that every payment is automatically non-refundable in every circumstance.
  • Any applicable cancellation charges, refund conditions or non-refundable third-party costs must be communicated before payment.
  • Specific cancellation and rescheduling terms may be stated in the proposal for photography, videography, events or other time-sensitive bookings.
  • If Social Vibe Communications needs to reschedule, it will communicate this to the client and agree on a reasonable next step.

Intellectual property and portfolio use

  • Ownership and usage rights for final deliverables are governed by the approved proposal and any applicable written agreement.
  • Third-party materials remain subject to their respective licences and usage restrictions. Clients must have the necessary rights and permissions for assets they supply.
  • Social Vibe Communications may display completed work in its portfolio, website or promotional materials only where permitted by the agreed terms and subject to confidentiality commitments.
  • Portfolio restrictions or confidentiality requirements should be agreed in writing.

Confidentiality and data handling

  • Both parties should handle confidential project information responsibly. Client information should be used for the agreed service and related business communications.
  • Account access and credentials should be shared through appropriate secure methods where possible.
  • Personal data will be handled in accordance with applicable privacy requirements and any relevant privacy notice. Clients should avoid sending unnecessary sensitive information.

Results, third-party platforms and limitations

  • Marketing performance, audience growth, sales, leads, engagement, search visibility and advertising results cannot be guaranteed.
  • Results may be affected by market conditions, budgets, competition, client decisions, platform algorithms and other external factors.
  • Subject to applicable law, Social Vibe Communications is not responsible for outages, policy changes, account suspensions or service failures caused by third-party platforms.
  • Any limitation of liability must be reasonable, clearly communicated and consistent with applicable UAE law. Nothing in these terms overrides mandatory legal rights.

Changes to terms and contact

  • Changes to these terms will be reflected on this page with an updated date.
  • A later website update does not automatically override an already agreed written proposal or contract. Material changes to an existing project should be communicated and agreed where required.

These terms are a practical draft, not a substitute for legal advice. A UAE-qualified legal professional should review the final wording before it is relied on as a binding agreement.
